A practical guide to the Staff app and web workspace, including what each section does and how Business and Employee users work with it.

Getting started

Account access, app navigation and the basic Staff workflow.

What is Staff?

Staff is a workforce and HR workspace connecting a Business account with its Employees. The same workspace is available through the Staff web portal and the Android app.

Business users administer workforce records. Employee users see their own work information and the actions their Business makes available to them.

How do I sign in and stay signed in?

Use the Sign in form on the Staff landing page. The app keeps the authenticated Staff session so normal navigation should stay on the main Staff screen rather than returning to the login screen.

If the session expires or the account is disabled, Staff can require a new sign-in.

What happens when there is no internet connection?

The app displays its offline page instead of a broken website error. When connectivity returns, go back or reload the Staff workspace. External phone and email actions are handled by Android rather than being treated as web pages.

How do notifications work?

Staff uses in-app notifications and Firebase Cloud Messaging (FCM) push notifications for supported work events. Tapping a notification opens Staff so the user can review the related workspace information.

Examples include task assignments and responses, leave activity, equipment activity and other enabled HR events.

Business workspace

Sections available to Business users for managing their own tenant/workspace.

Dashboard

Dashboard is the Business overview. It summarizes key workforce information and provides the live employee-location card when that feature is available.

Live location is intended to show the latest reported position of Employees who are currently Present at work.

Employees

Employees is the Business directory and employee-management section. Add and manage employee records, employment details and linked Staff accounts.

Phone numbers and email addresses can be opened directly with the device dialer or email app when Staff is used in the Android app.

Departments

Use Departments to create and organize the Business structure. Employees can be assigned to departments so lists, records and reports reflect the organization.

Positions

Use Positions to maintain job titles/roles used by employee records. Positions help describe the employee’s function within the Business.

Attendance

Attendance contains recorded check-in, check-out and break information. Business users can review attendance activity and, where permitted, enter or manage records.

Employee QR actions from the app are recorded here.

Leave

Leave is used to review and manage employee leave requests. Staff prevents the same Employee from submitting a new Pending/Approved leave range that overlaps an existing Pending/Approved request.

Business decisions on leave can generate notifications to the Employee.

Payroll

Payroll stores payroll records associated with Employees. It is tenant-isolated so each Business sees only its own payroll information. Access is role-controlled.

Projects

Projects lets the Business organize work into projects and associate relevant Employees/work items with those projects.

Tasks

Tasks is where Business users create and assign tasks. New Employee assignments can require the Employee to Accept or Decline the task.

After acceptance, the Employee can update progress such as Accepted, In progress, Blocked or Done. If Blocked is selected, a reason is required. The Business and assigned manager can be notified of responses/progress.

Equipment

Equipment manages company assets assigned to Employees, including condition and lifecycle information.

Employees can submit a new condition with a written reason and condition photo. After submission, the new photo becomes the current equipment image and the change remains visible in condition/lifecycle history. Business and the assigned manager can be notified.

Reports

Reports provides Business-level summaries generated from the workspace data available to the current tenant and role.

Notifications

Notifications lists Staff activity directed to the signed-in user. Unread notifications are counted in the sidebar when notifications are enabled.

Settings

Settings is available to authorized Business/admin users and controls Staff configuration such as branding, section visibility, app-store links/QR codes, notifications and signup options.

Settings is intentionally restricted from ordinary Employee accounts.

Employee workspace

The Employee-facing sections and daily actions.

My Workspace

My Workspace is the Employee home page. It summarizes the signed-in Employee’s current work information and provides the main attendance actions when available.

CHECKIN, CHECKOUT, BREAK and BACK

CHECKIN scans the Business QR code and records arrival when the code belongs to the Employee’s Business.

After check-in, CHECKOUT records the end of the work period. BREAK starts a break and BACK ends the active break. Staff prevents conflicting attendance actions, such as checking out while a break is still active.

My Profile

My Profile shows the Employee’s linked personnel details. The Employee can update the supported profile image using the app’s native image picker.

If the account is not linked to the correct employee record, some HR information may be unavailable until the Business fixes the link.

My Tasks

My Tasks lists tasks assigned to the Employee. A new assignment can be Accepted or Declined.

After accepting, the Employee can update task status. Selecting Blocked requires an explanation; the Business and assigned manager can receive the update.

My Equipment

My Equipment lists assets currently assigned to the Employee. The Employee can report a condition change by choosing the new condition, writing a reason, uploading a condition photo, and finally submitting the report.

The submitted image becomes the current equipment photo and past condition reports remain visible in Condition history.

Colleagues

Colleagues shows other Employees in the same Business workspace according to the permitted directory data. Phone and email actions are clickable in the Android app.

Leave requests

Employees can submit leave requests for allowed date ranges. A new request cannot overlap another Pending or Approved request belonging to the same Employee.

Approved/rejected activity can appear in Staff notifications.

Employee notifications

Employees receive Staff notifications for supported actions affecting them, such as assigned work, leave decisions, equipment activity or other enabled HR events.

Location, QR and device features

How Staff uses Android/device capabilities for work functions.

When is employee location updated?

The live-location function is tied to attendance. Location updates are intended only while the Employee is Present at work, not while on break and not while not checked in.

The Business map displays the latest location reported by the Employee device. The current Staff design does not provide continuous background tracking after the app is closed.

Why does Staff ask for location permission?

Location permission is required for the live employee-location feature. If permission or device Location is disabled, Staff cannot provide a current position.

How does QR attendance work?

The Employee taps CHECKIN and scans the Business QR. Staff verifies that the QR belongs to the Employee’s own Business before recording the attendance event.

The QR scanner uses the device camera.

Why does Staff need access to photos?

Photo access is used only when the user deliberately chooses an image, such as a profile picture or equipment-condition evidence.

Equipment condition reports require the image to be uploaded before the final Submit condition report action becomes available.

Why do phone and email links open other apps?

Phone links are handed to the Android dialer and email links to a compatible email app. They are intentionally opened outside the Staff WebViewer so they do not trigger the offline page.

Privacy, security and troubleshooting

Common questions about access, data separation and resolving problems.

Can one Business see another Business’s employees or HR data?

No. Staff is designed as a tenant-isolated workspace. Business and Employee queries are scoped to the owning Business so records are not intentionally mixed between tenants.

Who can see Employee information?

Access depends on Staff role and section permissions. Business/authorized managers can access the records required for their role, while Employees primarily access their own information and permitted colleague/work data.

Where can I read the Privacy Policy?

The public Privacy Policy is available from the landing page and at /staff-privacy/. It explains data categories, location, permissions, notifications, retention and privacy requests.

What should I do if a section or action is missing?

Some sections can be hidden by Business Settings/role visibility. Also confirm that the signed-in Employee is linked to the correct employee record and that required device permissions are enabled.

If the problem remains, sign out/in or contact the Business administrator/site operator.

What should I do if push notifications stop arriving?

Confirm Android notifications are allowed for Staff, internet access is available and the account is still signed in. Reopening Staff can refresh the registered device state.

The Business administrator can also verify that Staff notifications and Firebase configuration are enabled.
